This document tells you what this Privacy Policy covers and shows how we collect, store, use and disclose your personal data.
What does this Privacy Policy cover?
This Privacy Policy covers our processing of your personal data. We store data that may identify you as an individual, Personal Data.
If you contact us, we will keep a record of our correspondence. We may store Personal Data that you choose to provide to us, for example, if you sign up for the RadioNet newsletter (e.g. name, email address), if you apply for RadioNet event funding (e.g. name, institute, participant list including signatures, gender), if you apply for RadioNet individual support (e.g. name, institute, gender, level and reason of support), if you register to participate in events supported by RadioNet (e.g. name, institute, gender and the level and reason of support).
We receive and store only the data you provide directly to us. The types of Personal Data we may collect directly from you include: name, institution, email address & gender. Only in case you choose to claim costs as private person, then RadioNet will also ask for your date and place of birth, your private bank account data and for your private address.
We have to archive the correspondence, e.g. for future audits, for reporting to the EC. If you provide in your correspondence with RadioNet your postal address, phone number, job title, as well as other Personal Data, this data you provided will be archived with the correspondence.
Information we automatically collect
When you visit RadioNet-org.eu, we collect certain data related to your device, such as your device’s IP address, referring website, what pages your device visited, and the time that your device visited our website.
Do we share and disclose data to third parties?
We do not sell nor give away for free your Personal Data to anyone and we do not share it with other organizations.
The only circumstances under which we may have to share some of your Personal Data are:
- you apply for a RadioNet Call for support
- you receive RadioNet financial support as individual person
- you claim your expenses as individual (not through an institute)
In those cases, we have to prove to the EC that there is interest in the RadioNet Community for the project´s funding and it has to be made transparent, to whom the EC project´s money was provided. This means: If you apply to a RadioNet call, your application with the corresponding Personal Data will be archived, even in the case of non-being successful.
If you are individually awarded with funding, we will keep and make public in a report to the EC your name, institution, email address & gender. It is possible that there will also be a picture of you visiting the funded event.
In case you choose to claim costs as private person, then RadioNet will also ask you for your date and place of birth, your private bank account data and for your private address. These data will not be published but archived at RadioNet Office for audit purposes.
Protection of RadioNet / MPIfR (host institute) and Others: we reserve the right to access, read, preserve, and disclose any data as necessary to comply with law or court order; enforce or apply our agreements with you and other agreements, or protect the rights, property, or safety of RadioNet / MPIfR, the employees, project partners, or others.
Disclosures for National Security or Law Enforcement: under certain circumstances, we may be required to disclose your Personal Data in response to valid requests by public authorities, including to meet national security or law enforcement requirements.
Is Personal Data about you secure?
We use appropriate technical, organizational and administrative security measures to protect any information we hold in our records from loss, misuse, and unauthorized access, disclosure, alteration and destruction. Unfortunately, no company or service can guarantee complete security, unauthorized entry or use, hardware or software failure, and other factors, may compromise the security of user data at any time.

What choices do you have?
You can always opt not to disclose information to us. This would mean that would not be eligible for RadioNet funding. With the sending of an application, you automatically agree with the EC and RadioNet rules and obligations.
